Demo Print Shop (demo), run by Demo Print Shop (a demo, not a real business) in Anytown, USA, uses this site to take print orders. This explains what we do with your information. We keep it short because there isn't much: we collect what we need to print your order, and we delete your personal details soon after you pick it up. You can also choose to create an optional account, which keeps some details longer so you can see and repeat your orders; it is described below.
What we collect
- Your contact details: your name, your email address, and a phone number if you choose to give one.
- Your order: the item and options you chose, the quantity, and the price.
- Your files: the artwork or documents you upload, and a picture showing how you lined up your artwork.
- Technical information: like any website, our servers receive your internet (IP) address and browser details. We use them for security and to stop abuse such as spam orders. We keep only a scrambled (hashed) form of your address, never a readable copy, for about a day. Our website host may also keep ordinary server logs.
- Cookies: when the "quick check" is shown, we save a small cookie for 30 minutes to remember that you passed it. If you sign in to an account, we also save a sign-in cookie for 14 days (until you sign out) so you stay signed in. They don't track you. We use no analytics, advertising or tracking cookies.
Accounts are optional: you can always order as a guest. If you create an account we also keep the following, until it is deleted as described below:
- Your email address (it identifies the account and is checked with a one-time code we email you), your name, and a phone number if you give one.
- A password, only if you choose to set one. We never keep the password itself, only a scrambled (hashed) form that cannot be turned back into it.
- A discount the shop may set on your account.
- Your order history (what you ordered, when, and the price) and, for orders you picked up, the files you uploaded, so that you can repeat an order.
- The sign-in codes we email you, kept only as a scrambled form for 10 minutes.
What we don't collect: this site doesn't take payment, so we never see your card details.
How we use it
- To make your order and keep track of it.
- To email you: a confirmation when you order, and updates as your order moves along (in the print queue, printing, ready for pickup).
- To contact you about your order, for example if there is a problem with a file.
- To remind you, at intervals the shop sets, if your finished order hasn't been picked up, and to tell you if it is disposed of because it was never collected.
- To email our staff a short notice of each new online order so we see it quickly. It has the order number, the item and the price, but never your name or contact details.
- To keep the site secure and stop abuse.
- To keep simple records of finished jobs. These contain no personal details (see below).
- If you have an account: to let you sign in, see your orders, repeat an order with the same settings and files, fill in your details, and apply any discount the shop gave you.
We don't sell your information and we don't use it for advertising.
How long we keep it
- Your name, email, phone number and any notes on your order (as a guest)
- While your order is open. They are deleted by the end of the day after it is picked up or cancelled (in practice, the next time our staff open the order screen after midnight).
- Your files and your alignment picture (as a guest)
- Deleted at the same time as your contact details. (If you ordered while signed in, see the account rows below.)
- An order that is ready but not picked up
- We email you reminders at intervals the shop sets, and each one says how long we hold orders and the exact date we will dispose of yours. If it still isn't picked up by then, we dispose of it, email you to say so, and cancel the order. Your details are then deleted by the end of the next day.
- What stays after that
- The order number, the dates, the price, and the item details (for example "100 flyers, 8.5 x 11"). No name, contact details or files. We keep this for the shop's records. It also includes a code made from your email address that can't be turned back into the address; we use it only to count repeat customers in the shop's own sales reports. If you delete your account, the code is removed too.
- Files you uploaded but never ordered with
- Deleted automatically within 2 days.
- Your account (if you made one)
- Kept until you delete it (you can at any time, from your account page, and it happens right away) or until it has been unused for 24 months. We email you a warning a few weeks before an unused account is deleted.
- Order history in your account
- Kept for 24 months after the order was picked up or cancelled, then deleted.
- Your files in your account's order history
- Orders you picked up keep your uploaded files for 12 months so you can repeat them, then the files are deleted. Files from cancelled orders are not kept.
- Quotes our staff prepared for you
- Deleted after 2 weeks.
- Scrambled security counters
- Kept for about a day, then cleared out automatically.
- Emails we sent you
- They stay in your own inbox until you delete them.
- Backups
- Our database provider keeps short-term backups so we can recover from a failure. Something we've deleted can remain in those backups for a short time, never longer than 30 days, before it ages out.
Orders that are still being worked on stay open until our staff close them out.
Who handles your information for us
We use a few other companies to run this site. Each one handles your information only to do the job we hired it for.
- Neon
- Stores our order records in a database (United States, Ohio).
- Amazon Web Services
- Stores the files you upload while your order is open (United States, Ohio).
- Resend
- Sends the emails described above.
- Cloudflare
- Runs the "quick check" that tells people from automated programs. It sees your IP address and some browser information to do that.
- Vercel
- Runs the website itself and keeps ordinary server logs.
We share your information with no one else, unless the law requires it.
How we protect it
- The connection between your browser and this site is encrypted (HTTPS).
- Your files are private. Only our signed-in staff can open them.
- Our staff must sign in and enter a personal PIN to change an order, and what they do is written to an internal log that holds no customer details.
- We delete personal information quickly instead of keeping it.
No system is perfectly secure. If there is ever a problem that affects your information, we will tell you as the law requires.
Your choices
You can ask us what we have about you, ask us to correct it, or ask us to delete it sooner (we will, unless we need it to finish an open order). You can also tell us if you would rather not get order update emails. If you have an account, you can download your data and delete your account yourself from your account page, and deleting it removes your order history and stored files right away (an order still being worked on stays with the shop until it is finished). You can reach us by email at demo-admin@demo.invalid, or by phone at (555) 010-0100, or by mail at 100 Demo Street, Anytown.
Children
This site isn't meant for children under 13, and we don't knowingly collect information from them.
Changes to this policy
If we change this policy, we will update the date at the top of this page.
